Go to the Campaigns > Campaign List section, then click the Create Campaign button.
Campaign Types
One-Time Campaigns
These are more promotional and informational e-mails, sent one time on a selected date and time
- Room Offers - designed to drive room revenue through packages and offers.
- Events & Announcements - notifying guests of a special event.
- Newsletter - updates recipients on hotel news, offers, etc.
- We Miss You - a one-off e-mail sent to inspire a new booking.
- Other - any other type of campaign.
Automated Campaigns
These are sent automatically in response to a particular guest event, e.g. 30 days after check-out
- Pre-Arrival - can be sent a number of days before arrival, typically to try and upsell items such as breakfast and room upgrades (these are the e-mails with the highest conversion).
- Welcome - to be sent upon check-in, or during the guest's stay.
- Qualification - will be sent the first time a guest enters a particular segment.
- We Miss You - automatically sent to a guest a defined number of days after check-out.
- OTA Winback - sent automatically to guests with a reservation via an OTA channel. Must be within 30 days after checkout, otherwise the OTA e-mail address will no longer work.
- Birthday - can be sent a number of days before a guest's birthday (if data is present in their profile).
- Double Opt-in - enable a confirmation e-mail to be sent to new contacts, requesting them to confirm their subscription.
After selecting the One Time or Automated tab, and then the campaign type, you will reach the campaign setup screen.
Step 1: Setup your campaign
Campaign name: Give your campaign a name; it will only be visible to you and is only used for organizing your campaigns. It will not be visible to your recipients.
Subject: The subject line is one of the most important email settings. A good subject line will positively impact your open rates and deliverability (avoiding spam). Choose a subject that clearly describes your email content.
Preview Line: The preview line is displayed on some email clients below the subject, and can help entice a reader to open the e-mail.
From name: The 'From Name' appears in your recipient's inbox to identify you as the message sender. Its purpose is to build trust with recipients and generate more openings.
Sender E-mail: Helps your recipients recognize you as the message sender, so it is just as important as the "From name". The default value is your account e-mail address. Don't forget that you can change the sender's email by updating it in this field.
Step 2: Design your email
Note: Your profile must be completed to send or schedule your campaign.
You can choose between your existing templates in the My Templates section, the pre-built Template Gallery , or you can create an e-mail entirely from scratch using the Design Tools:
- Drag & Drop Editor: Create a mobile-friendly (responsive) email by dragging and dropping text blocks, images, buttons and other design elements to create a beautiful email.
- Rich Text Editor: Create simple text emails using a WYSIWYG (What-you-see-is-what-you-get) editor.
- Paste Your Code: Paste your own HTML code, which should be created by a design professional.

Once you have saved and exited the campaign builder, you can preview your email campaign:
You can click on the mobile button to view the e-mail in the mobile view:
To enter the editor again, just press the Edit email content button. To go back to the template selection screen, you can press the Reset email Design button (note this deletes any changes you made to your e-mail design).
Step 3: Choose your segment
Now you can choose which segment will receive your email.
You can view, edit, or create new Guest Segments, as explained in the Guest Segment section.
Once ready to select a segment, hover your mouse over the segment box, and press Select:
This view will then allow you to add additional filters on the segment for just this selected campaign:
- Properties - filter a segment further by just guests associated with a specific hotel
- Existing Campaign - only include guests who have received/not received, opened, clicked, been sent a specific campaign since a set time
- GDPR safe mode - only send to guests who meet a minimum subscription status (e.g. explicit subscription or double opt-in)
- Exclude e-mail addresses with future stays
Step 4: Schedule your campaign
Depending on your campaign type, you have up to three choices:
- Send it now
- Schedule for a specific time
- Send automatically based on a specific event (for automated e-mails only). Some examples include:
- X days before check-in/out
- on check-in/out
- on a birthday/anniversary
- X days since the last check-out
Step 5: Confirmation
At this stage, you are presented with a confirmation page of all the settings you have chosen. You can also choose to Send a test e-mail using the button at the upper right. If you need to edit a section, you can click on any of the relevant steps:

Once ready to send, press the Activate or Send button (depending on your campaign type) at the top right.
You can then track the progress of the send in the Campaign Reports section.
